Kollegio Ambassador Program

Privacy

What we ask you for, what we do with it, and what we do not do. If anything here does not match what the app does, the app is wrong and we want to know.

What this covers

This page is about the Kollegio Ambassador Program specifically — the application form, your ambassador dashboard, and your referral link. Kollegio's main app has its own privacy policy, and signing up as an ambassador does not change it.

What we ask you for

On the application: your name, email address, date of birth, city and state, your school and expected graduation year, and a couple of short written answers about why you want to take part.

A mobile number, so we can reach you about your application.

Whether we may text you is a separate question, asked with its own checkbox, and the answer does not affect whether you are accepted. Say no and we will only ever email you. Say yes and you can stop it at any time by replying STOP to any message, which takes effect immediately and without anything else changing.

Optionally: your Instagram or TikTok handle, and any clubs or activities you want to mention. These are optional in the form and optional in fact — leaving them blank does not affect whether you are accepted.

If you are under 18, a parent or guardian's email address. This one has a specific job: we do not send a reward to anyone under 18 without telling a parent or guardian first, and that address is where we tell them. It is used for that and nothing else.

Your date of birth is used to work out two things: whether you are old enough to take part at all, and whether a reward that is adults-only can be offered to you. We do not use it for advertising and we do not share it.

What we collect while you use your link

When someone opens your referral link we record that a click happened, the code they used, roughly what kind of device it was, and where the click came from. We do not store the visitor's IP address — we store a one-way hash of it, which lets us spot one person clicking two hundred times without keeping the address itself.

When someone signs up through your link, we record that the signup happened and enough about their Kollegio account to check that it is a real student before paying you: whether they confirmed their email, whether they finished setting up, roughly where they are, and how complete their profile is. Your dashboard shows you their first name and last initial only.

We do not read their messages, their applications, their essays, or anything they do in Kollegio beyond whether their account is real and set up.

Who can see it

The Kollegio team, and specifically the people who review applications and approve rewards. Reviewers see your application and your referral activity because that is what they are deciding on.

Our email provider sends the messages, and our rewards provider sends the gift cards — for a gift card that means the name and email address you chose for delivery, and the amount. Neither gets your date of birth, your school, or anything about who you referred.

We do not sell your information, we do not share it with advertisers, and we do not use it to build a profile of you for anything other than running this program.

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

How long we keep it

Your application and ambassador record last as long as you are in the program. If you ask us to remove you, we delete your record, your referrals, and your click history.

Two things survive a deletion, and both for a reason. We keep a record that a reward was paid, because that is a financial record we are required to be able to account for. And we keep the fact that an application with your email address was decided, so that a rejected application cannot be resubmitted immediately as though it were new. Neither keeps your date of birth, your phone number or your written answers.

Your choices

You can ask to see what we hold about you, ask us to correct it, or ask us to delete it. Reply to any email from us and a person will action it.

If you are under 18, your parent or guardian can make any of those requests on your behalf.

You can stop being an ambassador at any time, for any reason, without losing a reward you have already earned.

Security, honestly stated

Sign-in is by emailed link rather than a password, so there is no password of yours for us to lose. Sessions expire. Access to the admin side is limited to named accounts and every decision about a person or a payout is recorded against the person who made it.

We are a small team running a small program. We have taken the precautions above seriously, and we are not going to claim a level of security assurance we have not been audited for.

Changes

If we change what we collect or what we do with it, we will say so here, and we will email you if the change is material. We will not quietly start using your information for something new.
